Position: Administration Manager

Purpose of the position:

·The primary function of the role is responsible for all administrative tasks related to the reception desk including receiving visitors, distributing mail and answering phone calls.

Responsibilities:

  • Dispatch/ receive daily courier to/from clients.
  • Register all received international documents in adequately manner.
  • Index all incoming invoices in system.
  • Supervise messengers on a daily basis and distribute tasks.
  • Answer telephone and connect calls to concerned staff.
  • Receive customers and direct them to concerned staff.
  • Ensure getting a new offers for stationary items.
  • Control office consumable items and ensure proper stock items are available.
  • Receive all faxes and distribute/ filing it to the concerned persons.
  • Responsible for courier agreement.
  • Follow up the office’s maintenance with team responsible for the latter in the building.
  • Responsible for printing company hard copy correspondence materials ex. (letter head, envelopes… etc).
  • Responsible for distributing the office printing and stationery materials for offices.
  • Responsible for reserving the meeting rooms.
  • Write all letters addressed to government agencies.
  • Ensure all business processes to be followed as per RT systems/ guidelines and working instructions.
  • Strictly adhere with directives (incl. Code of conduct, Ethical Behavior, etc…)
    Any cognate duties.
